Online payments

How your customers pay deposits and invoices online through Stripe (in full or in part), how to refund a card payment, and where the money goes.

Once Stripe is connected, your customers can pay a deposit or an invoice from their phone in a minute. The money goes into your own Stripe account and then to your bank.

Before you start

You need to connect Stripe once. It takes about 5 minutes. See Connect Stripe payments.

When it's done, Settings → Payments shows Card payments are on. Until then, customers only see the offline methods you've added (like check or Zelle).

How your customer pays a deposit

  1. They sign the quote.
  2. A Deposit section appears on the quote page showing the amount due.
  3. They tap Pay by card (marked Pay online) and pay on a secure Stripe page.
  4. They come back to the quote, which shows Deposit paid.

How your customer pays an invoice

  1. They open the invoice from your email or text.
  2. Under Pay this invoice they choose The full balance or A different amount (at least $1, up to the balance).
  3. They tap Pay by card and pay that amount on the Stripe page.
  4. Back on the invoice, it shows Paid in full or Partly paid with the new balance, and they're emailed a receipt.

A customer who paid part can come back to the same link and pay the rest.

Stripe may also offer other ways to pay that you've turned on in your Stripe account. Some, like bank payments, take a few days to confirm; the payment shows as pending until then, and the invoice tells your customer they don't need to pay twice.

What happens on your side

  • The payment is marked received automatically. You don't need to do anything.
  • The invoice or quote updates its balance and status.
  • With push notifications on (Pro), your phone gets a "Payment received" alert.
  • Stripe pays out to your bank on your Stripe payout schedule. Click Open Stripe Dashboard in Settings → Payments to see payouts.

Refund a card payment

  1. Open the invoice and find the payment in the Payments card.
  2. Click Refund.
  3. Enter the amount. It starts at what's left to refund; lower it for a partial refund.
  4. Click Refund.

Stripe sends the money back to your customer's card, usually within 5 to 10 business days. The invoice's paid total and balance update straight away. Refunds you make in your Stripe Dashboard show up here too.

The refund comes out of your Stripe balance. If your balance is too low, Stripe declines it and tells you. See Fees explained for what happens to fees.

Offline methods

In Settings → Payments, click Add method to add check, Venmo, Zelle or cash, with Pay-to instructions. Customers see these next to card payments. When they choose one, the payment shows as pending until you click Mark received. See Record a payment.

Fees

Stripe charges its standard processing fee, and Hello to Paid adds a small percentage set by your plan. Offline and recorded payments have no fees. See Fees explained.
