Deposits, expiration and revisions
Ask for a deposit when your customer signs, set how long a quote is good for, and send a revised copy.
Ask for a deposit
- Open the quote in Work → Proposals.
- In Pricing & terms, under Deposit, choose % of total or $ amount.
- Enter the number, for example 50 for 50%.
- Click Save. The Preview total card shows the Deposit due.
Your customer sees the deposit under the total. Right after they sign, a Deposit section appears on their quote with the ways they can pay:
- Pay online by card through Stripe, if you've connected Stripe. The deposit is marked paid automatically.
- Pay directly with any offline method you've added in Settings → Payments (check, Venmo, Zelle and so on). They see your pay-to instructions.
The page tells them paying the deposit online is optional, so they can also arrange it with you.
Track the deposit
The Payments card on the quote shows the deposit requested, what's been received and what's left.
- An online card payment shows as paid by itself.
- When a customer picks an offline method, it shows as pending. Once the check or transfer arrives, click Mark received.
- Got paid some other way? Click Record a payment, enter the amount and method, and click OK. See Record a payment.
When you invoice the job, deposits already paid are taken off the balance.
Set an expiration date
- In Pricing & terms, pick a Quote valid until date.
- Click Save.
To give every new quote an expiry automatically, set Valid for in Settings → Proposals (for example 30 days). New quotes then start with a valid-until date that many days out.
Your customer sees "Valid until" at the top of the quote and in the email. The quote stays open through the end of that day. After that:
- The quote page says This quote is no longer valid, and your customer can't sign it.
- They can still download the PDF.
- The quote shows Expired in the Proposals list and in the app.
To reopen it, change the date to a later one and click Save, or send a revision.
Revise a quote
Need to change a signed quote, or re-quote an expired one? Make a revised copy:
- Open the quote and click Duplicate (on a signed quote it says Duplicate to revise). In the Proposals list, the copy icon does the same.
- A new draft opens called "(Revised)", with a new quote number. Line items, choices, photos, tax, discount and deposit are all copied. The valid-until date starts fresh: blank, or your default Valid for days from today if you've set one.
- Make your changes, then click Send to customer.
The revised copy has its own link. The original stays as it was, so delete the old one from the Proposals list if you don't want your customer signing it.
Signed quotes are locked
Once your customer signs, the quote is read-only: you can't change its line items, prices, choices, scope of work or photos, so it always matches what they agreed to. The editor says who signed and when, and shows the total for the options they chose. To change anything, click Duplicate to revise and send the revised copy.
You can still record payments, and create the job and invoice from a signed quote.
